Attendance and access system for a company: how it works

Who came to work and when, who has access to the warehouse or server room and how to record it all without paper? An attendance and access system serves this. Let us explain how it works, what it brings a company and what to keep in mind when deploying it.
What an access and attendance system is
These are two linked but different purposes:
- An access system decides who gets where. A door, gate, warehouse or server room opens only for an authorized person (card, chip, code or fingerprint).
- An attendance system in turn records arrivals and departures of employees for payroll and overview.
They often go together: one tap of a card records attendance and opens the door.
How it works
- An identifier. The employee has a card, chip (fob) or uses a fingerprint, possibly a phone with NFC. The principle of cards is discussed in the article on copying NFC and RFID cards.
- A reader at the door reads the identifier.
- A control unit verifies authorization and, according to the rules, opens or denies entry.
- Software keeps records, attendance overviews and access settings.
What it brings a company
- An overview of attendance without paper sheets and manual rewriting.
- Control of access to sensitive premises (warehouse, server room, offices).
- Security. When a card is lost, just revoke the access, you do not change locks.
- Different levels of permissions. Everyone gets only where they should.
- Time rules. Access only during working hours or for specific days.
- A record in case of an incident, who entered where and when.
What to watch for in security
- Card quality. Cheap unencrypted cards can be easily copied. For sensitive access, choose secured encrypted cards.
- A backup during a power outage. The system should have a clear rule for what happens during an outage (emergency opening or locking). A backup power supply (UPS) is useful.
- A separated network. An access system belongs in a secured part of the network, similar to cameras and IoT.
- Personal data protection. Attendance records are subject to GDPR.
How to deploy it
- Map the doors and premises that need controlling and who should have access where.
- Choose a suitable identifier type (card, chip, fingerprint) according to needs and sensitivity.
- Design permission levels and time rules.
- Install readers and a control unit and connect to the software.
- Test emergency scenarios too (power outage, evacuation).
Conclusion
An attendance and access system brings a company order, security and an overview. It replaces paper sheets and ordinary keys with a solution you can manage centrally and securely. The important thing is to choose quality cards, think about outages and compliance with data protection.
